Projects

Projects help you organize related tasks under common goals. Track progress, filter by project, and see the big picture alongside individual tasks.

  1. Open Settings (⚙️)
  2. Go to Features
  3. Enable Projects
  4. Connect your Projects database

Access your projects:

  • Click the 📁 Projects icon in the sidebar
  • Press Ctrl/Cmd + P to open project picker
  • Use the project filter in the task list

Each project shows:

  • Name - Project title
  • Progress - Tasks completed / total
  • Progress bar - Visual completion
  • Status - Current project status
  • Due date - If set

Right-click a project for options:

  • Focus - Show only this project’s tasks
  • Edit - Open project details
  • Archive - Mark as complete
  • Open in Notion - View in Notion
  1. Press N for new task
  2. Press Tab to expand options
  3. Click Project dropdown
  4. Select a project
  1. Click a task to open details
  2. Click the Project field
  3. Select or search for a project
  1. Select a task
  2. Press Shift + P
  3. Type project name
  4. Press Enter
  1. Select multiple tasks
  2. Right-click → Move to Project
  3. Select destination project

CueCapture tracks project completion automatically:

Progress = Completed Tasks / Total Tasks × 100%

Example: 7 of 10 tasks complete = 70%

  • Progress bar - Visual fill
  • Fraction - “7/10 tasks”
  • Percentage - “70%“

Tasks matching your “completed status” setting:

  • Done, Complete, Finished, etc.
  • Checkbox checked (if using checkbox status)
  1. Click the Project filter dropdown
  2. Select a project
  3. Only that project’s tasks appear
  1. Double-click a project card
  2. Widget enters “Focus Mode”
  3. Only project tasks visible
  4. Press Esc to exit
  1. Press Ctrl/Cmd + P
  2. Type project name
  3. Press Enter to filter

Default view showing all active projects:

  • Grid or list layout
  • Sortable by name, progress, due date
  • Filter by status

Group projects by status:

  • Active - In progress
  • Upcoming - Not started
  • Completed - Done/archived

Gantt-style view of project timelines:

  • Project bars by date range
  • Task milestones
  • Dependencies
  1. Open Projects panel
  2. Click + New Project
  3. Enter project name
  4. Add details (optional):
    • Description
    • Due date
    • Status
  5. Click Create

Create projects directly in your Notion database. They’ll appear in CueCapture automatically after sync.

When assigning a task to a project:

  1. Open project dropdown
  2. Type a new project name
  3. Click “Create [name]“

Click a project to view/edit:

  • Name and description
  • Status and due date
  • Progress summary
  • Quick actions
  • All tasks in this project
  • Same functionality as main task list
  • Pre-filtered to this project
  • Total time tracked
  • Time by task breakdown
  • Time vs budget (if set)
  • Recent changes
  • Completion history
  • Team activity (if shared)

Configure project statuses in Settings → Projects:

  • 📋 Not Started
  • 🔄 In Progress
  • ✅ Complete

Map to your Notion status options:

  • Planning
  • Active
  • On Hold
  • In Review
  • Complete
  • Archived

Assign colors to statuses for visual distinction.

When a project is done:

  1. Open project details
  2. Change status to “Complete”
  3. Project moves to completed filter
  1. Right-click project
  2. Select Archive
  3. Project hidden from default view
  4. Still accessible via “Show Archived”
  1. Open project details
  2. Click Delete
  3. Confirm deletion
  4. Tasks remain but lose project link

Create projects for goals, not just work:

  • “Q1 Objectives”
  • “Home Renovation”
  • “Learn Spanish”

Check project progress weekly:

  • Which projects are stuck?
  • Any overdue?
  • Time to archive completed?

Create project templates in Notion:

  • Standard tasks
  • Default properties
  • Consistent structure

Use Notion board view alongside CueCapture:

  • CueCapture for quick access
  • Notion for visual kanban
  • Both stay in sync
  • Verify database is shared with integration
  • Check database URL in settings
  • Manual refresh (Ctrl/Cmd + R)
  • Ensure relation property exists
  • Check task has project assigned in Notion
  • Verify property mapping
  • Check “completed status” settings
  • May take a moment to calculate
  • Try manual refresh
